KEY RESPONSIBILITIES & DUTIES

  • Maintain SVPs diary/diaries, arranging meetings, booking meeting rooms/software links.
  • Facilitate smooth executive trips, arranging appropriate travel, visas and agendas
  • Coordinate SVPs meetings and conferences, including venue/hotel booking, travel, catering etc.
  • Schedule and plan meetings and conferences to streamline business operations.
  • Provide effective meeting support by preparing agendas and taking minutes.
  • Provide full administrative support Leadership team – meetings, calendar, planning and communication.
  • Streamline operational efficiencies through collaboration and communication.
  • Creating Power Point, Word and Excel presentations/documents and spreadsheets.
  • Prepare and submit expense reports (multi currencies).
  • Create and maintain purchase orders to payment of invoices with our EMEA finance team.
  • Carry out specific projects and research on behalf of [person/team] Managing information flow in a timely and accurate manner.
  • Maintain offices systems, data management and electronic filing as needed.
  • Build collaborative working relationships with project teams.
  • Assist on projects within business.
  • Provide high-level administrative support, adapting proactively to team needs and aiding efficiency.
  • Other ad hoc duties as required by the SVP which will develop in line with the needs of the business and position holder capability.
  • Requirement to work from Monster House office, Uxbridge Monday – Thursday, Fridays as required.

SKILLS & EXPERIENCE 

 

  • Multi years’ experience as an Executive/Personal Assistant, ideally FMCG business.
  • Experience and understanding of the international Energy Drink Business a significant advantage.
  • Knowledge and experience with the Monster Energy Company a material benefit.
  • Demonstrated ability of providing high level administration support.
  • Intermediate/advanced MS Office 365 (PowerPoint, Excel, Word).
  • Demonstrated ability of managing/owning own projects.
  • Team player, build and maintain strong working relationship with internal and external stakeholders.
  • Highly organised and efficient with outstanding time management skills and the ability to prioritise work effectively.
  • A ‘can do’, flexible attitude with high attention to detail.
  • Passionate, intelligent, resilient, and highly motivated.
  • Able to work well under pressure, to strict deadlines remaining calm and professional at all times.
  • Ability to maintain confidentiality at all times of information related to the company and its employees.
  • Comfortable working alongside and communicating at all levels of decision makers.
  • Ability to self-motivate and work independently within in a dynamic environment, driven by fast decision making.
  • Travel to meeting/events as required.
